When to choose Microsoft 365
Your team needs desktop versions of Word, Excel, and PowerPoint
Microsoft 365 Business Standard and above include full desktop applications — the software installed on your computer, not just the browser-based version. If your team does advanced Excel work, complex Word documents with tracked changes, or detailed PowerPoint presentations, the desktop apps are significantly more capable than the Google equivalents.
You use other Microsoft products
If you are already using Windows Server, Azure, Dynamics 365, or planning to, Microsoft 365 integrates tightly with all of them. Teams also integrates with a large ecosystem of third-party business applications.
You need advanced security controls
Microsoft 365 Business Premium includes Microsoft Defender, Intune for device management, and advanced compliance tools. For businesses with strict security requirements — healthcare, finance, NGOs with donor compliance requirements — the Microsoft security stack is more comprehensive.
Your industry uses Microsoft Office as a standard
If you regularly exchange documents with clients, government bodies, or partners who use Microsoft Office, staying in the Microsoft ecosystem avoids compatibility issues.
When to choose Google Workspace
Your team already uses Gmail
Familiarity matters. If your staff use Gmail personally, the learning curve for Google Workspace is minimal. Adoption tends to be faster.
You want simplicity
Google Workspace has a simpler administration interface than Microsoft 365. Adding users, setting up email, and managing permissions is straightforward. For businesses without a dedicated IT team, this matters.
Your team works primarily in a browser
Google Workspace is designed around browser-based work. It performs well on slower or mobile internet connections. If your team uses a mix of devices and connection quality varies, Google's lighter web apps have an advantage.
You need real-time collaboration
Google Docs, Sheets, and Slides have genuinely excellent real-time collaboration — multiple people editing the same document simultaneously, with instant syncing. Microsoft's web apps have improved but Google's real-time collaboration is still considered superior.
Budget is a primary consideration
Google Workspace Business Starter is competitive on price and covers the core needs of most small Ethiopian businesses: Gmail, Drive, Meet, Docs, Sheets, and Slides.
What about Amharic language support?
Both platforms support Amharic. Google Workspace has historically had stronger Amharic keyboard input support through its Android-based applications, which is relevant for staff who prefer typing in Amharic on mobile devices. Microsoft 365 also supports Amharic through Windows language packs.
For user interfaces in Amharic, both platforms are partially localised but the primary working language for most features remains English.
Migrating from one to the other
If you are already on Microsoft 365 and considering moving to Google Workspace (or vice versa), migration is manageable but requires planning. Email, contacts, and calendars can be migrated. Files stored in OneDrive or SharePoint need to be migrated to Google Drive, and file format conversion (from .docx to Google Docs format, or the reverse) sometimes requires cleanup.

Yes. Migration in either direction is possible. It is easier to plan for at the start than to do after you are fully invested in one platform, but it is not an irreversible decision.
